Quick Event Information Guide

Location:

The Eid Show is situated at the Bankstown Showground/Paceway located at 176-178 Eldridge Rd, Condell Park.

Trading Days & Time:

The event spans three days, from Friday 21st of June 4pm to 10pm), Saturday, June 22nd (11 am to 10 pm) to Sunday, June 23rd (11 am to 10 pm).

Pricing:

$880 for stall hire for duration of event. This includes a 3m x 3m marquee and lighting only.

Set Up and Pack Up:

– Bump-in will take place from 6:00 pm to 8:00 pm on Thursday, June 20th, 2024 (TBC)

– Event Pack Up starts from 10pm on Sunday, June 23rd. All Stallholders must vacate the event space by 11pm on the same day.

 

Terms and Conditions:

  1. Public Liability Certificate: Stallholders are required to provide an image of their Public Liability Certificate with a minimum coverage of $10 million to AIES upon successful stall application and approval. The original certificate must be presented to AIES for verification before approval. Alternatively, stallholders may purchase a certificate through AIES for this event only, priced at $280.00.
  2. Completeness of Forms: All forms must be fully completed, and all pages must be submitted upon initial submission.
  3. Payment: Full payment must be remitted within 3 days of approval to secure the position, unless otherwise approved. Stallholders may contact stalls@sydney.eidshow.com to propose a payment plan.
  4. Cash Bond: Stallholders will be charged an additional $350 cash bond, payable on the day of stall bump-in. This bond will be refunded at the close of the event, with the possibility of changes. In the event of minor damages, improper waste disposal, or breaches of the Terms & Conditions, the bond will be automatically forfeited to AIES. Any damages exceeding $350 will be the responsibility of the party or parties accountable.
  5. Stall-sharing: Stall-sharing is strictly prohibited. Violations will result in immediate closure of the stall and forfeiture of the deposit, or a further fee of $880 for operating as a secondary stallholder.
  6. Additional Items: Stallholders must not bring any additional items, merchandise, or foodstuff to the event without prior approval from AIES Management.
  7. Occupancy: Stallholders are purchasing their stall for continuous occupation throughout the event. Failure to operate the stall to full capacity may result in AIES retaining all fees and bonds and offering the space to other vendors.
  8. Prohibited Materials: Islamic books, audio/visual literature, or da’wah are not permitted for distribution. AIES holds responsibility for ensuring compliance in this regard.
  9. Removal of Non-compliant Items: AIES reserves the right to remove any items that do not comply with Islamic principles.
  10. Cash Handling: Stallholders must provide their own cash float and furnish receipts upon request.
  11. Furniture: Stallholders are responsible for providing their own in-stall seating and tables. Removal of tables and chairs from event seating areas is strictly prohibited.
  12. Lighting: Lighting will be provided by AIES; the use of external lighting is not permitted.
  13. Power Supply: A single 10-amp power socket is available to each stallholder at an additional cost of $180, subject to change. A maximum of two appliances may be used per power point. Stallholders must provide their own minimum 40m extension cord and ensure all electrical equipment is compliant with relevant regulations.
  14. Safety Measures: Stallholders must use power safely and correctly, and ensure compliance with workplace laws. Overloading or piggybacking of power points is strictly prohibited.
  15. Liability: AIES holds no responsibility for any injuries sustained by stallholders, employees, affiliates, or volunteers.
  16. Stall Setup: Stall setup is permitted on Thursday, June 20th, between 6 pm and 8 pm only, subject to confirmation from AIES. Stallholders must adhere to designated time slots and use this time solely for unloading purposes.
  17. Unloading Spaces: Unloading spaces are available from 6 pm to 8 pm on Thursday. Stallholders may use these spaces during setup and pack-up. Once unloaded, vehicles must be parked nearby; leaving vehicles in unloading spaces during trading hours is prohibited.
  18. Rubbish Disposal: Stallholders are responsible for disposing of all rubbish into designated skip bins throughout each day and upon daily event closure. Overflowing bins should be reported to AIES staff for assistance.
  19. Cancellation Policy: Stall cancellation requests must be submitted in writing by close of business on June 7th, 2024. Refunds will be issued at 50% for requests received by this date; all subsequent cancellations will forfeit all fees.
  20. Financial Expectations: AIES accepts no accountability for stallholders who fail to meet their financial expectations.
  21. Stall Perimeter: Stallholders may extend items up to 0.5 meters beyond the stall perimeter, with a maximum height of 1.5 meters, subject to approval by AIES staff.
  22. Event Cancellation: In the event of show cancellation due to extreme circumstances, stallholders will be refunded 60% of the stall fee.
  23. Decorative Standards: Stallholders must adhere to AIES standards regarding celebratory decoration to maintain the event’s aesthetic appeal.
  24. Promotional Materials: Stallholders may distribute promotional material provided by AIES only. Unauthorised material will be removed.
  25. Enforcement: AIES reserves the right to eject any stallholder or affiliate deemed in conflict with these Terms and Conditions.
  26. Acknowledgement: Stallholders must acknowledge and accept these Terms and Conditions in writing.
  27. Event Atmosphere: Stallholders and attendees are expected to maintain a level of modesty in dress and conduct throughout the event.
  28. Outside Invitations: Stallholders must notify AIES of any external event invitations received.
  29. Parking: Stallholders may park one vehicle in designated areas at no cost, subject to prior allocation. Vehicles may not be moved until event closure each day.
  30. Vehicle Regulations: Vehicles may enter the designated stallholders’ parking area between 10 am and 10:30 am and exit no earlier than 10 pm each event day. Vehicles are prohibited in the event space on event days and must not re-enter before 10 pm, unless otherwise instructed.
  31. Vehicle Security: AIES accepts no responsibility for vehicle security or damages incurred during the event.
  32. Tow Away Charges: Stallholders acknowledge that tow away charges will apply for non-compliance with parking regulations.

Set Up and Pack Up
Bump-in from 6.00pm-8.00pm Thursday 27th of April 2023.
Event Pack Up from 10pm Sunday. All Stallholders must be off the event space by 11pm on Sunday the 30th of April.

 

  1. An image of the Public Liability Certificate with a minimum of $10 million cover MUST be provided to AIES upon a successful stall application and approval. AIES must sight the original prior to approval. If you do not have a Public Liability Certificate, you may purchase through AIES for this event only for $280.00.
  2. Forms must be complete, and all pages sent upon submission. Full payment must be made if/when approved to secure position (unless approved otherwise. Please email stalls@sydney.eidshow.com for any payment plan proposal).
  3. Agree to abide by COVID safe requirements for events and COVID-safe directions by Eid Show management, Council, Police or NSW Health Officer.
  4. Stallholder payments need to be made in FULL 2 weeks following emailed approval to secure stall.
  5. Stallholders will be charged an additional $350 cash bond (paid on induction or Thursday on stall bump-in). This will be refunded in the weeks following the event C.O.B (changes may occur). In the instance that minor damage has occurred, site rubbish has not been deposited in allocated areas, or any breaches of the set-out Terms & Conditions are made, by person/s responsible for stalls, this bond will be automatically forfeited to the AIES, on behalf of the stall holder. Any damages in excess of $350 are payable by person/persons responsible for said damages (BSB & Account details must be provided for bond refund).
  6. Stall-sharing is not accepted at ANY TIME. If at any time this is noted as apparent, one of two courses of action will occur: Stall will be closed immediately, and deposit forfeited, or Initial stall holder will incur a further $875 fee for operating as a secondary stall holder.
  7. No extra items, merchandise, foodstuff, including but not limited to confectionery, meat products, audio/visual literature, clothing articles, promotional materials, to be brought to the event on or preceding its commencement, without prior knowledge and approval of AIES Management.
  8. Stallholders are purchasing their stall for constant occupation throughout the duration of the event. Should stall holders choose not to operate their stall to said capacity, AIES reserve the right to retain all fees and bond pertaining to said stall/stall holder, and to offer said space to other vendors.
  9. No Islamic books/audio/visual literature or Islamic da’wah permitted in any format for distribution. AIES holds responsibility of provisions pertaining to this.
  10. AIES reserves the right to remove all items, merchandise, foodstuffs that do not comply with the Qur’an and Sunnah.
  11. All stallholders must provide their own cash float and provide receipt/proof of sales upon consumer requests.
  12. All stallholders must provide their own in-stall seating & tables. The AIES does not provide this.
  13. Lighting will be provided in the marquee (use of own lighting will NOT be permitted at any time).
  14. A single 10-amp power socket can be made available to each Stallholder at an additional cost of $125 (may be subject to change). A maximum of two appliances can be used per power point. NO HEATERS. All stallholders are required to bring their own minimum 40m extension cord for power. Stallholders must ensure that all electrical equipment and leads used inside the Stall must be tagged in compliance with relevant workplace laws and regulations and such tags must be always available for inspection. It is the stallholder’s responsibility that the power is used in a safe and correct manner and the stallholder hereby indemnifies the AIES for any claims for injury or compensation relating to the usage of the power supply.

Please note: overloading or ‘piggybacking’ of power points is AT NO TIME permitted.

  1. AIES holds no responsibility for any injuries of stallholders and/or their employees, affiliates or volunteers.
  2. Stall set-up is permitted on Thursday the 27th of April, 2023 between 6pm – 8pm only (subject to change –please confirm first by contacting AIES on 0404343749 or for further information). Stallholders must arrive to bump in the designated time slot and must use this time to unload only.
  3. Unloading Spaces are available from 6pm – 8pm on the Thursday during bump-in (Entry via Eldridge Road). Stallholders may only use these spaces during set up and pack up. Once you finish unloading, you MUST drive out of the event space and find a parking nearby. You may not leave your car in these spaces during trading hours. Cars are NOT allowed to be in the event space on Friday, Saturday & Sunday & cannot re-enter before 9pm any night unless advised otherwise.
  4. All stall items, including rubbish and waste, pertaining to stallholders must be removed within 1 hour directly after official event-close on Sunday 30th of April 2023. NO EXCEPTIONS (Charges apply).
  5. Stallholders are responsible for disposing all rubbish into skip bins throughout each day, and upon daily event close. If bins are full, please ask AIES staff to show you the closest disposal compound. Upon initial setup of stalls, it is advised to ask AIES staff to show you said skip bin storage areas and closest disposal compounds.
  6. Intent of/cancellation of a stall must be submitted to AIES in writing by C.O.B by Friday the 31st of March 2023. Those submitted on or prior to this date will receive a 50% refund. All cancellation post-date will forfeit all monies to AIES.
  7. AIES accepts no accountability for stallholders who do not meet their financial and business expectations.
  8. Items, articles, materials etc. permitted to be taken a MAXIMUM of 0.5 metres past the stall perimeter provided and a maximum of 1.5m high. AIES staff hold the right to disapprove the said 0.5 metre depth and 1.5 metre height if it is unsafe at any time. NO EXCEPTIONS (CHARGES APPLY).
  9. In the event of cancellation of the show due to extreme acts of nature and pandemics, including but not limited to requests from medical/emergency/council/legal bodies, as a form of risk management and general safety, the stallholder will be refunded 60% of the stall fee.
  10. All stalls must meet with AIES stall standard and expectations, regarding celebratory decorating to meet the nature of the event. If not, you may incur a fee by AIES to provide your stall with decorative material. Please note: Stalls are to be ALWAYS kept aesthetically appealing and tidy.
  11. All stall holders may be provided with flyers and promotional material to market this event. Any promotional material not provided by AIES management will be removed immediately.
  12. AIES management reserves the right to eject any stallholder, their employee/affiliate/volunteer from the event whom is deemed in conflict with these Terms and Conditions.
  13. All Terms and Conditions must be read and agreed upon/accepted in writing. AIES holds no accountability for stall holders failing to do so.
  14. This is an Islamic community event. We ask all to respect this & retain a level of modesty of dress, so as not to risk disengaging themselves from the AIES, its affiliates and/or community participants throughout the event’s duration.
  15. We request to immediately notify AIES Management if any other event organisers are approaching/inviting you to another event without the pre-approval off AIES
  16. Stallholders have the option to park ONE vehicle in a designated area to be allocated prior to event at no cost.
  17. Please note: Once your vehicle is parked, you are unable to move your car until event close each day, unless otherwise advised. Cars are permitted entry into designated stall holders parking area between 9.30am and 10.00am, and exit from said area no sooner than 10pm each event day. Cars are NOT allowed to be in the event space on Friday, Saturday & Sunday & cannot re-enter any night before 10pm unless advised otherwise.
  18. Please note: Vehicles will not be held under direct security/surveillance at any time and no responsibility is held by AIES should there be any damages or theft.
  19. I accept tow away charges will apply if my vehicle is not parked in correct designated areas provided.

  9. Food Compliance: All foods must be Halal Certified and comply with AIES food safety requirements. Halal certificates must be displayed at all times. Any doubt regarding Halal compliance may result in immediate stall closure. Processed, made, produced, manufactured and/or stored using utensils, equipment and/or machinery has TO BE THOROUGHLY CLEANED TO AVOID CROSS-CONTMAINATION WITH OTHER NON-HALAL PRODUCTS. All food must be free from contamination with non-halal products while prepared or processed. 
  10. Cash Handling: Stallholders must provide their own cash float and furnish receipts upon request.
  11. Power Supply: Stallholders can access power and a shared cool room for an additional fee.. $700 for power (this includes up to 3 x 15amps of power ONLY) and $350 for a shared cool room. Power will be supplied to your location one hour before and after event trading hours. NO HEATERS to be connected to power. All electrical equipment must comply with relevant workplace laws and regulations.
  12. Power Supply: All stallholders are required to bring their own minimum 40m extension cord for power. Stallholders must ensure that all electrical equipment and leads used inside the Stall must be tagged in compliance with relevant workplace laws and regulations and such tags must be available for inspection at all times. It is the stallholder’s responsibility that the power is used in a safe and correct manner and the stallholder hereby indemnifies the AIES for any claims for injury or compensation relating to the usage of the power supply.

  16. Setup: Food stalls setup times will be organized prior to the event, and vendors will be notified by email or text.
  17. Unloading Spaces: Unloading spaces are available from 6 pm to 8 pm on Thursday. Stallholders may use these spaces during setup and pack-up. Once unloaded, vehicles must be parked nearby; leaving vehicles in unloading spaces during trading hours is prohibited.
  18. Rubbish Disposal: Stallholders are responsible for taking all their rubbish with them. No rubbish is to be put in the bins at the event. Food stallholders must ensure no oil residues are left behind, as they will be responsible for any damages incurred.
